18th EASE General Assembly and Conference

Editing in the age of misinformation

We are delighted to announce that the 18th EASE General Assembly and Conference will be held in Oslo, Norway on 14-16 May 2025. Registration is open.

Our hosts will be The Norwegian Medical Association, led by EASE Council member, Are Brean.

Our Conference will feature a scientific programme of 12 sessions, with over 30 speakers drawn from across the globe. We are also offering two optional workshops on Tuesday, 13 May and are delighted to welcome our sister society, ISMTE, who will host a workshop on the morning of Wednesday, 14 May.

We will have our usual Association business sessions, our 23rd AGM and our Editorial Board meetings; our Poster Exhibition and Competition; Sponsor sessions, and two special social events, a Drinks Reception and tour of the beautiful City Hall and our Conference Dinner. Lots to look forward to!

The dates have been scheduled to coincide with Norway’s National day on Saturday, 17 May. Stay for the weekend and celebrate with us. Children take part in processions and festivities throughout Norway in national costumes carrying Norwegian flags. Quite a spectacle.

EASE Scientific Poster Exhibition and Competition 2025

You are invited to submit an abstract to the EASE Scientific Poster Exhibition and Competition being held in conjunction with the 18th EASE General Assembly and Conference in Oslo, Norway from 14-16 May 2025. 

Posters may be submitted in three categories:

  • Scientific Posters
    a visual and concise presentation of research findings, designed to communicate the essence of a research project in a format that is engaging, clear, and accessible to a broad audience.
  • Scholarly Publishing Process and Innovation Posters
    for those working in scholarly editing and publishing, to communicate initiatives or projects that are not directly tied to research results. These posters may focus on sharing workflows, tools, methodologies, and best practices within academic publishing.
  • Community Engagement and Collaboration Posters
    for community groups, e.g. an EASE Regional Chapter, a Special Interest group or an Editorial Association to describe their work and activities. These posters should showcase the mission, activities, impact, and goals of the Chapter, Group etc.

A prize will be awarded to the best poster in each category, plus an additional prize for the best Norwegian submission.

Physical posters will be displayed at the venue during the Conference and they will be displayed online from 1 May onwards. 

The winners and runners up in each category will be invited to present their poster in a >5-minute presentation, live (in-person or online) at the Conference on Friday, 16 May. 

 

Timetable
  • 7 January –  Invitation to submit abstracts opens

Each abstract will be assessed within 14 days of submission and you will receive some feedback and an invitation to submit a final poster if approved.

  • 10 April    –  Invitation to submit abstracts closes
  • 17 April    –  Closing date for final posters to be submitted
  • 1 May       –  Exhibition goes live on Conference webpages
  • 14 May     –  Exhibition goes live at Conference venue
  • 16 May     –  winners and runners up in each category present their poster at the Conference (in-person or online).

 

Technical specification

To submit a poster, please provide it in .pdf format, for publication on the Conference website in landscape or portrait orientation.

Posters will be printed to exhibit at the Conference venue. Please ensure they are less than A1 size.

If you wish, you may also provide a <5-minute video presentation in .mp4 format with audio in English, which will be published alongside your poster. Please prepare a transcript of the audio and upload your files to this folder by the closing date, 17 April.

 

Marks scheme

Please note the judging panel will use the following marks scheme to judge the scientific poster entries.

  • Organisational and study framework
    20 marks
  • Novel nature of the content: ie does this add to our scientific knowledge
    10 marks
  • Content: quality of the research methodology and the scientific information, sufficient referencing, correct use of tables and graphs
    20 marks
  • Presentation style, clarity of communication, readability and visual appeal
    10 marks

Abstracts should be sent to secretary@ease.org.uk to be assessed. Submitters will receive some feedback to help them improve their final poster.
